Workspaces
A workspace keeps one client's (or one company's) contacts, lists, campaigns, mailboxes, templates, webhooks and API keys completely apart from every other workspace. You run all of them from one SubsiMail install, one URL and one login — no second server per client.
What a workspace is
- Separate: contacts, lists, campaigns, connected mailboxes (and the Google or Microsoft apps behind them), templates, saved searches, webhooks, API keys, the inbox and the dashboard.
- Shared: the people (logins), and one thing on purpose — an address that hard-bounced is blocked in every workspace, because a dead address is dead for everyone. Unsubscribes and spam complaints stay inside the workspace they came from: someone who opted out of one client may still want another client's email.
- Its own license: each workspace has its own plan, billing cycle and token.
Adding a workspace
- On your subsimail.com account, open Workspaces and add one with the client's name. Pick a plan if it isn't one of your free workspaces.
- Select the new workspace and copy its license token.
- In SubsiMail open Workspaces → Add a workspace, paste the token and confirm. The workspace appears in the menu on the left.
All the workspaces on one install must come from the same subsimail.com account and use the same domain; a token from a different account, or one already used on this install, is refused.
Plans, the free two, and the discount
Every workspace is billed on its own, priced by connected inboxes like any other plan (see Pricing & billing).
- An account can have two free workspaces (one inbox each); every one after that needs a paid plan.
- Multi-workspace discount: the first paid workspace is full price, the second is 20% off, and every paid workspace after that is 10% off. It applies to monthly and yearly plans alike and is fixed when a workspace is bought.
Who can open what
A person's role is per workspace: admin in one, view-only in another. A super admin has every workspace. Admins and above give access from Team → Access, and only to workspaces they administer themselves. People see, and can switch to, only the workspaces they have been given.
When someone leaves
- Remove from this workspace takes them out of one workspace and leaves the rest of their account alone.
- Pause blocks sign-in and API keys everywhere until you enable them again.
- Archive is for people who left: blocked for good, hidden from the team list, their email free to use again. You can hand what they created to a colleague; nothing is deleted.
An admin can pause, archive or change the email of someone only when all of that person's workspaces are ones the admin administers; otherwise a super admin does it.
One license, one install
A license runs on one SubsiMail install at a time. If you move to a new server, restoring your database backup keeps everything working; if you start fresh, use Release this install on the workspace's License card, or just wait a day — an install that has been silent for 24 hours can be replaced automatically.
